Overview

Greet visitors and incoming callers in a pleasant, professional manner.  Manage the switchboard and other responsibilities of the front desk.

Responsibilities

    • Answer all incoming operator calls and direct to the appropriate destination;
    • Greet all visitors and vendors and notify employees that their guests have arrived;
    • Ensure the reception & conference areas are kept orderly and clean.
    • Provide hospitality and meeting support as needed (scheduling conference rooms, coordinating food orders and other logistics etc.).
    • Manage all incoming faxes and stamp date on each;
      • Receive and prepare all orders received by fax and mail. This requires stamping the date on all orders and distributing orders to the right person or the correct folder in the Customer Service Department;
    • Stamp all outgoing mail, take mail to the mailbox and collect incoming mail;
    • Sort all incoming mail and distribute to the appropriate individuals;
    • Put all Accounts Payable invoices in alphabetical order and distribute;
    • Mail all requests for UPS labels and return forms;
    • Prepare and ship UPS packages
    • Review supply inventory weekly and order additional supplies when needed;
    • Assist customer service with processing and confirming sales orders
    • Assist with customer order organization and special projects; Clearly communicate problematic situations to the Customer Service Manager in a timely manner;
    • Work with team members well and communicate with them effectively;
    • Perform other duties and projects as assigned;

Qualifications

    • HS Diploma or equivalent required;
    • A minimum of one years’ prior experience as a receptionist prefered;
    • Excellent interpersonal, verbal, and written communication skills;
    • Works well with team members and is personable;
    • Able to handle multiple calls at once and transfer calls;
    • Solid intermediate level computer knowledge - Microsoft Office Suite / Excel, Word
    • Strong multitasking skills and a the ability to effectively prioritize work daily work assignments
    • Ability to work in a fast-paced environment;
    • Good organization skills
    • Able to work overtime as needed
